Role Overview

The Branch Coordinator serves as the key operational and administrative anchor for the Puducherry branch. This role involves coordinating branch operations, managing workforce deployment, maintaining client relationships, ensuring compliance, and supporting overall branch efficiency. The Branch Coordinator plays a pivotal role in aligning branch activities with the company’s operational goals.

Key Responsibilities

1. Operational Coordination

• Plan and manage the deployment of guards and field staff to meet client requirements.
• Monitor daily performance of personnel, ensuring punctuality and adherence to service standards.
• Respond to last-minute changes in schedules due to emergencies or absenteeism.
• Conduct site visits to ensure compliance with operational protocols.

2. Administrative Management

• Maintain accurate records of attendance, shift schedules, and payroll inputs.
• Ensure all employee documentation is complete, including onboarding, ID issuance, and compliance records.
• Prepare and submit daily, weekly, and monthly operational reports to the regional office or head office.

3. Client Relationship Management

• Act as the primary point of contact for clients, addressing queries and resolving service-related issues.
• Conduct regular follow-ups with clients to gather feedback and ensure satisfaction.
• Collaborate with operations and sales teams for smooth onboarding of new clients and contract renewals.

4. Workforce Coordination

• Liaise with HR for recruitment and onboarding of staff for branch operations.
• Organize training sessions for security personnel to align with client-specific needs.
• Monitor attendance, handle leave approvals, and ensure workforce retention.

5. Financial Responsibilities

• Assist in preparing and submitting accurate client invoices.
• Track branch-level expenses and ensure adherence to budgetary limits.
• Follow up on outstanding payments and resolve billing discrepancies in collaboration with the finance team.

6. Compliance and Risk Management

• Ensure compliance with statutory regulations, including ESI, PF, gratuity, and labor laws.
• Maintain safety protocols at all client sites under branch management.
• Prepare documentation and support internal/external audits.

7. Communication and Reporting

• Act as a liaison between the branch, operations, and senior management to align objectives.
• Provide regular updates on branch performance, challenges, and improvements.
• Prepare and share operational, financial, and compliance reports on time.

8. Crisis and Incident Management

• Handle emergencies, such as absenteeism, client complaints, or on-site incidents, with professionalism.
• Mediate disputes among employees or between the branch and clients to maintain positive relationships.

9. Technology and Process Optimization

• Utilize company tools (ERP, CRM, attendance systems) for operational efficiency.
• Identify and implement process improvements to enhance branch performance.

Performance Metrics

• Timeliness and Accuracy: Quality and punctuality of operational and financial reports.
• Client Satisfaction: Resolution of complaints and feedback scores.
• Workforce Efficiency: Reduction in absenteeism and attrition rates.
• Compliance: Adherence to statutory regulations and audit findings.
• Financial Accuracy: Timely submission and collection of invoices.

Key Internal Relationships

1. Operations Team: Collaborate on workforce deployment and operational challenges.
2. HR Team: Coordinate for recruitment, onboarding, and employee welfare.
3. Finance Team: Work on billing, invoicing, and expense tracking.
4. Sales Team: Support new client acquisition and contract renewals.
5. Senior Management: Provide updates on branch performance and seek guidance on critical issues.

Key External Relationships

1. Clients: Serve as the primary liaison, ensuring satisfaction and service quality.
2. Vendors: Manage contracts and resolve disputes related to supplies.
3. Statutory Authorities: Ensure compliance with regulations and submit required filings.
4. Auditors: Provide documentation and address audit findings.

Ideal Candidate Requirements

Educational Qualifications

• Bachelor’s degree in Business Administration, Commerce, or related fields.
• Preferred: Diploma or certification in Operations Management, HR, or Security Management.

Experience Requirements

• 3–5 years in operations, administration, or coordination roles.
• Minimum 2 years in the security services or manpower-intensive industry.

Technical Skills

• Proficiency in workforce planning, shift scheduling, and compliance.
• Familiarity with Microsoft Office Suite (Excel, Word, PowerPoint).
• Experience with ERP, CRM, or attendance tracking tools is advantageous.

Additional Requirements

• Proficiency in English and Tamil (mandatory).
• Age: 25–40 years preferred.
