Role Overview

The Finance Executive is responsible for managing the financial operations of the organization, including budgeting, reporting, billing, payroll, and compliance. The ideal candidate will have strong financial acumen, a thorough understanding of the security services industry, and experience working in a fast-paced, high-volume environment.

Key Responsibilities

1. Financial Management & Reporting

• Prepare and review financial statements (profit & loss accounts, balance sheets, and cash flow reports).
• Ensure accurate and timely reporting of monthly, quarterly, and annual financial results.
• Monitor budgets, forecasts, and financial plans to align with organizational goals.
• Track revenue streams and ensure proper invoicing for manned guarding services.

2. Billing & Collections

• Manage billing cycles for large-scale contracts and ensure invoices are accurate and timely.
• Oversee accounts receivable processes, ensuring prompt payment collection.
• Resolve billing discrepancies and disputes with clients.
• Ensure adherence to contractual payment terms.

3. Cost Management

• Monitor operational expenses and identify opportunities for cost savings.
• Conduct variance analysis to compare budgeted vs. actual expenses and recommend corrective actions.
• Collaborate with operations to optimize wage and benefit costs.

4. Payroll Oversight

• Coordinate with HR to ensure payroll accuracy, including allowances, overtime, and deductions.
• Ensure compliance with statutory requirements, such as provident fund, gratuity, and tax deductions.

5. Compliance & Audit

• Ensure compliance with GST, TDS, ESI, and other statutory obligations.
• Collaborate with internal and external auditors to provide financial data and address findings.

6. Financial Planning & Analysis (FP&A)

• Conduct financial analysis to support decisions on pricing, profitability, and new contracts.
• Develop financial models to evaluate business changes and their impact.

7. Vendor & Contract Management

• Manage accounts payable and ensure timely vendor settlements.
• Evaluate vendor contracts for cost-effectiveness and financial risks.

8. Client Pricing & Tender Support

• Collaborate with the sales team to develop competitive pricing strategies.
• Evaluate the profitability of existing contracts and provide recommendations for improvement.

9. Risk Management

• Identify and mitigate financial risks, such as cash flow gaps and client defaults.
• Ensure adequate insurance coverage for operational and financial risks.

10. Stakeholder Communication

• Present financial insights and reports to senior management.
• Collaborate with cross-functional teams (operations, sales, HR) to align financial objectives.

11. Technology & Process Improvements

• Implement and optimize financial software for accurate reporting and operational efficiency.
• Identify areas for automation to reduce manual processes and enhance productivity.

Key Internal Relationships

• Operations Team: Align costs with revenue and support operational budgeting.
• Sales Team: Collaborate on pricing, client negotiations, and collections.
• HR Team: Manage payroll accuracy and compliance with labor laws.
• Senior Management: Provide strategic insights, budgets, and financial plans.

Key External Relationships

• Clients: Manage invoicing, collections, and resolve payment disputes.
• Vendors: Ensure timely payments and evaluate contracts for cost-effectiveness.
• Auditors: Provide financial data and address audit findings.
• Banks & Financial Institutions: Manage cash flow, credit facilities, and financial products.
• Regulatory Bodies: Ensure compliance with tax and labor regulations.

Ideal Candidate Requirements

Educational Qualifications

• Minimum: Bachelor’s degree in Finance, Accounting, Commerce, or related fields.
• Preferred: Master’s degree (MBA in Finance) or certifications like CA, CMA, or CPA.

Experience

• General: 5–7 years in finance or accounting.
• Industry-Specific: 2–3 years in the security services or manpower-intensive industries.
• Leadership: Proven ability to manage cross-functional teams or financial projects.

Technical Skills

• Proficiency in financial reporting, budgeting, and analysis.
• Knowledge of statutory compliance (GST, TDS, ESI, etc.).
• Expertise in payroll management and cost optimization.
• Proficiency in financial tools like SAP, Oracle, QuickBooks, or Tally.
