Purpose of the Job: The Procurement and Logistics Officer is responsible for sourcing materials, goods, and services on behalf of the company, ensuring that purchases are cost-effective and meet the company's quality standards and requirements. The officer maintains optimal stock levels and conducts comprehensive market research, negotiation with vendors, and assessment of potential suppliers to support the company's daily operations and strategic objectives.
Key Responsibilities:
Adhere strictly to the company’s procurement policies and procedures, executing duties in line with established guidelines.
Collaborate with internal stakeholders to understand their procurement needs and prepare detailed reports accordingly.
Conduct thorough analysis of supplier quotations, perform comparative studies, and review terms and specifications.
Engage in continuous market surveys to ascertain the most favourable deals and opportunities for the company.
Establish and maintain direct lines of communication with suppliers, managing their accounts and updating relevant details as required.
Generate and oversee purchase orders, ensuring a seamless process from initiation to delivery confirmation.
Coordinate with pertinent departments to review and validate specifications and requirements for procurement items.
Guarantee compliance with all supply and procurement processes, adhering to legal, ethical, and company rules and regulations.
Achieve the best possible price-quality ratio by adhering to the company's procurement policy and negotiating favourable terms.
Regularly evaluate supplier performance to maintain high standards and develop improvement strategies.
Propose alternatives and solutions to enhance product specifications and achieve cost reductions.
Negotiate and enter into strategic long-term contracts with suppliers based on purchase orders.
Implement rebate management with regular suppliers, contingent upon meeting minimum annual purchase thresholds, to reduce overall costs.
Prepare purchase orders and secure necessary approvals as per the company's authority matrix.
Facilitate effective communication between the requesting departments, warehouses, and finance teams.
Manage the supply chain and customs clearance for international orders in collaboration with shipping companies and external suppliers.
Assist in the preparation of bids for competitive tendering processes.
Qualifications:
Bachelor’s degree in business administration, Supply Chain Management, or a related field.
A minimum of 5 years of proven experience in the procurement sector.
Locally available candidates (In Bahrain) preferred.
Skills:
Proficiency in both spoken and written English.
Advanced computer literacy, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Slides, Sheets).
Exceptional communication skills with a strong emphasis on effective and persistent follow-up.
Expert negotiation skills to engage with and manage suppliers effectively.
